How to

Orders and clients

9 tasks

The Orders and clients screen, with the controls these steps name numbered on it 11

Add a client

Keep a customer’s contacts and delivery address once, and every order for them fills them in by itself.

  1. In the menu, open Clients.
  2. Press Add.
  3. Type the Name. It is the only field you must fill in.
  4. Add a Phone, Email or social handle if you have them.
  5. Sending parcels to them? On the Delivery tab, fill in where the parcels go.
  6. Press Add.

Worth knowing: In an order, pick the client from the list and their details fill in by themselves.

Create an order for a customer

Put a job in the queue: the app prices it from the model, the filament and your margin.

  1. In the menu, open Orders, then Queue.
  2. Press Create at the top of the board.
  3. Pick a Client, or just type the Customer name.
  4. Choose the Print model and its Variant (color).
  5. Enter the Quantity, pcs and check the Assigned printer.
  6. Look at Final price: it is worked out from filament, time and your margin. Type your own if you agreed a different one.
  7. Set the Payment status and write the Delivery information.
  8. Press Create. The order appears on the board in New.

Worth knowing: Not enough filament on the shelf? The form warns you, and the order is taken anyway: open a new spool of it before the print starts.

Print several models in one order

A customer ordered a dragon, two stands and a keyring: one card on the board instead of three, printed on one machine.

  1. In the menu, open Orders, then Queue.
  2. Press Create at the top of the board.
  3. Choose the first Print model and enter its Quantity, pcs.
  4. Press Add model for every other model, then pick its colour and how many.
  5. Check the Assigned printer: one machine prints all the models one after another, so their time and filament add up.
  6. Look at Final price: each model is priced as its own order would be, and the parts and the modelling are counted once.
  7. Press Create. When the job is done, Finish asks for bad pieces model by model.

Worth knowing: A basket from your storefront still comes in as one order per item: each item may go to a different printer, and its price has to stay its own.

Print a customer's own model

A customer sends a file you will print once: no model in your catalogue, only the plastic, the time and the printer.

  1. In the menu, open Orders, then Queue.
  2. Press Create at the top of the board.
  3. Switch the model to Customer's model.
  4. Type the Job name: it is what the card on the board says.
  5. Press Add filament for every plastic and enter the grams the slicer shows for the whole job.
  6. Enter the Print time for the whole job, the Quantity, pcs it makes and choose the Assigned printer.
  7. Press Create. The order is priced like any other and appears on the board.

Worth knowing: Not enough filament on the shelf? The order is taken anyway and the spool shows 0 g: open a new one before the print starts.

Buy extra orders

A busy month ran past your plan: buy a pack of orders instead of moving to a bigger plan.

  1. In the menu, open Workspace, then Settings.
  2. Open the Plan tab.
  3. Find Extra orders under your usage.
  4. Choose the Pack size and How many packs: 10 orders for $1, 100 for $8 or 300 for $20.
  5. Press Buy orders and pay on the payment page.
  6. Back in the workspace, the orders appear in a moment. They are used only after this month’s plan orders run out, and stay valid for 12 months.

Worth knowing: At the month’s limit, the banner at the top of the screen links straight here. Packs of sales for card payments are just below.

Take an order from printing to paid

Each move on the board tells the app what happened, and it takes the filament, parts and finished pieces into account.

  1. In the menu, open Orders, then Queue.
  2. When you start printing, drag the card to In progress, or press Change status on the card and choose it there. Confirm with Start printing.
  3. When it is printed, move it to Ready to ship. Say how many came out badly and press Finish.
  4. When you send it, move it to Shipped.
  5. When the customer pays, press the card, set Payment status to Paid and press Save.
  6. A shipped and paid order can go to Closed. The eraser at the top clears finished columns; the orders stay in history.

Worth knowing: Starting to print uses up the filament and parts, so an order cannot go back to New after that. Changed your mind? Move it to Canceled and say how much filament was used.

Send a parcel with Nova Poshta

Create the waybill straight from the order and send the customer the tracking number.

  1. Open the order: press its card on the board or in History.
  2. In Payment & delivery, press Create waybill.
  3. Check the Recipient, Phone and branch: they come from the client.
  4. Enter the Weight, and the Size, of the box.
  5. The customer pays on receipt? Fill in Cash on delivery. Choose who pays for delivery in Delivery paid by.
  6. Press Create waybill. The waybill number is ready to send to the customer.

Worth knowing: The button appears once Nova Poshta is connected in the workspace settings and the order is saved. Nova Poshta is for workspaces in Ukraine.

Reach any record from any page in two keystrokes, without going through the menu.

  2. Type an order number, a customer, a model, a phone or a spool. Every word counts, in any order.
  3. Move with the arrows and press Enter: an order opens itself, a client or a model opens its list with the name filled in.

Worth knowing: An order is found by the number on its card, 1053 or #1053, even when you do not remember the customer.

Work out a price without an order

A customer asks how much? Get a price in seconds and keep it, without creating an order.

  1. In the menu, open Dashboard.
  2. Find the Price calculator card.
  3. Choose the Printer, then enter Weight, g and Print time.
  4. Enter the filament price per kg and the cost of any parts.
  5. Read the Sale price at the bottom. Assumptions shows the margin and rates it uses.
  6. To keep the quote, press Save, give it a name and save.

Worth knowing: Saved quotes are behind the clock icon on the card. On a phone the calculator has its own button in the bottom bar.
